LegalWorks is a robust email management solution. Just like documents, you can save email to a matter directly from Outlook. LegalWorks allow you to save email messages that you have received to a matter, as well as emails you send to a matter. The LegalWorks Office Add-In will install a plugin to your Outlook that facilitates this functionality.
(Note that the Office and Outlook add-in is only supported in Windows, not Mac OS, as Microsoft Office for Macs does not support third-party add-ins.)
You can save any email from anywhere in Outlook to a LegalWorks matter. Once you’ve installed the LegalWorks Office Add-In, you’ll see a new pane in your Outlook window labeled LegalWorks. Within this pane you’ll see your list of matters, which you can filter to only Open Matters, Closed Matters, All Matters or My Matters.
Simply drag and drop any email (or multiple email messages) to a particular matter to copy it to that matter. When you do, LegalWorks will add a flag to the message in Outlook indicating that this email has been Copied to LegalWorks
Once an email has been copied to a matter in LegalWorks, you can see it on the Email tab of that matter.
From the Email tab of the matter, you can filter or sort on any of the available columns including To, From, Subject, Date, and Attachment. You can also click any email to open it. Note that LegalWorks copies the email message in its entirety including the message body and attachment; as such saving an email in LegalWorks captures the entire email. Moreover, a complete copy of the email is captured in LegalWorks, so you can delete the message from your Outlook and the email will still exist in LegalWorks.
You can optionally configure LegalWorks to capture outbound emails and associate them to matters as well. To turn this feature on (or off), open the LegalWorks Launcher and check the box labeled Prompt on Mail Send.
Now, every time you send an email in LegalWorks you will have the option to save that email to a LegalWorks matter. (Be sure to close and re-open Outlook after making this change.)
LegalWorks will de-duplicate emails saved to a matter. The same email is often sent to multiple people within your firm. If a user attempts to copy an email to a matter that has already been copied by another user, LegalWorks will inform the user to avoid the same email being copied multiple times. This ensures a clean LegalWorks matter and avoids messy, duplicate information.
